Team 300 Fastpitch ("Team 300," "we," "us," or "our") runs a 14U and 16U competitive travel softball program based in Miami, Florida. This policy explains what personal information we collect through our website, why we collect it, who can see it, and the choices families have. We wrote it in plain language on purpose. If anything here is unclear, please contact us using the details at the end and we will explain it.

Our Commitment to Our Athletes

Every athlete in our program is under 18. We treat their information the way we would want our own family's information treated. We collect only what we need to evaluate an application and run the program safely, we do not sell it, and we do not share it for advertising. If you ever want to know what we hold about your athlete, or want it deleted, you can ask us and we will do it.

Information We Collect

Information you give us through the application form. When you complete our player contact form, we collect the athlete's full name, date of birth, current age, current grade, city, primary and secondary positions, throwing and batting hand, shirt size, and travel ball experience, along with a parent or guardian's name, email address, and phone number.

Information we may collect if you contact us directly. If you email or call us, we keep the contact details and the content of that conversation so we can respond and follow up.

Basic website information. Like most websites, our host and security provider may automatically record technical information such as IP address, browser type, and pages visited, for security and to keep the site running. We do not use analytics tools or tracking cookies on this website.

We do not collect payment information through this website. No payments are taken on this website, and we do not take payments through any third party payment service.

Parental Consent

Our application form is intended to be completed by a parent or legal guardian, not by the athlete. When you submit the form, you confirm that you are the athlete's parent or legal guardian and that you consent to us collecting and using the information described in this policy. If an athlete submits a form without a parent's involvement and you would like it removed, contact us and we will delete it.

How We Use This Information

We use the information you provide to:

  1. Review and respond to applications and tryout enquiries
  2. Evaluate whether an athlete is a fit for the program and communicate with families about tryouts, rosters, and placement
  3. Organize teams, order team gear in the right sizes, and plan for tournaments
  4. Communicate with parents about schedules, practices, events, and program updates
  5. Meet the registration and eligibility requirements of the leagues and tournaments we enter, such as USSSA and PGF

We do not use this information for any other purpose without asking you first.

Who Can See This Information

Access is limited to the people who need it to run the program: our coaching staff and program administrators.

We share information outside the program only in these situations:

  1. Leagues and tournament organizers, where registration or eligibility verification requires it
  2. Service providers that help us operate, specifically Bluehost, which hosts this website, and EmailJS, which delivers form submissions to us
  3. When the law requires it, or where sharing is necessary to protect the safety of an athlete or another person

We do not sell personal information. We do not rent or trade it. We do not share it with advertisers or data brokers.

Photographs and Video

We may take photographs and video at practices, tournaments, and team events, and use them on this website, on our social media pages, and in program materials. We do not publish athletes' full names, ages, home addresses, or contact details alongside images on our website. If you prefer that your athlete does not appear in photographs or video we publish, tell us in writing and we will honor that request. We do not use a separate media release form at registration.

How We Protect Information

We limit access to athlete and family information to staff who need it, and we use reputable service providers to host our site and handle form submissions. Application forms are sent over an encrypted HTTPS connection. Submissions are stored in a password protected database on our hosting account, and a copy is delivered to a password protected email account used by the program. We use the details you submit only to process athlete registrations and to contact parents.

No method of transmitting information over the internet is completely secure, so we cannot promise absolute security. What we can promise is that we collect as little as we reasonably need and we do not pass it around.

How Long We Keep It

We keep application information for as long as it is useful for evaluating an athlete and running the program, and we delete it when it is no longer needed. In practice, we keep application information until the end of the tournament it relates to, and then we delete it. You can ask us to delete your athlete's information sooner at any time.

Your Choices and Rights

As a parent or legal guardian, you can:

  1. Ask us what personal information we hold about your athlete
  2. Ask us to correct anything that is wrong
  3. Ask us to delete your athlete's information
  4. Ask us to stop contacting you, or unsubscribe from program emails
  5. Ask that your athlete not appear in published photographs or video

To make any of these requests, contact us using the details below. We will respond as quickly as we reasonably can, and we will not require a reason.

Changes to This Policy

If we change how we handle personal information, we will update this page and change the "last updated" date at the top. If the change is significant, we will let current families know directly.
